Who we are
Social Commerce Accountants Limited (registered in England under 13802919) provides specialist ecommerce accounting services for scaling UK DTC brands. This policy explains how we collect, use and protect information submitted through this website.
Information we collect
When you book a discovery call, TidyCal collects the details you provide: your name, email address and any call notes you choose to share, and we receive those details to prepare for the call. TidyCal's own privacy policy applies to the booking process on their site; we do not run a booking form on this website.
If you sign up for our checklist or seller notes, we collect your email address and the page you signed up from. We use it to send the content you asked for and an occasional email about UK ecommerce accounting — you can unsubscribe at any time, and we delete unsubscribed addresses from the mailing list. The lawful basis is consent.
Booking a call
Discovery calls are scheduled through TidyCal. If you book a call, the details you enter into the booking form (name, email, anything you add in the notes) are processed by TidyCal under TidyCal's privacy policy and shared with us to run the call.
How we use information
We use this information to assess fit, prepare for your discovery call, respond to your enquiry, improve our website and maintain basic records of inbound enquiries.
Lawful basis
Booking and enquiry data: legitimate interest in responding to your enquiry and qualifying prospective client relationships. Product analytics: consent — analytics only load if you click "Accept" on the cookie banner.
Finance Function Scorecard
If you complete our free Finance Function Scorecard, we collect the details you submit — your name, email, business details, answers, consent and UTM source data — to generate your personalised report. Your responses and report are stored securely in Supabase (Postgres, EU region) so your report link keeps working, your report PDF is sent to you by email (delivered via Resend), and a summary of your business information is processed by Anthropic (an LLM provider) to generate your custom scorecard content. To protect the scorecard from abuse, we also record the IP address of submissions in our rate-limiting table; it is retained with the submission history and used only for abuse prevention. The scorecard's lawful basis is consent, which you give when submitting the form; you can request deletion of your scorecard data at any time by replying to your report email.
Storage and suppliers
Discovery-call bookings are processed by TidyCal (which stores booking records under its own terms). Historical enquiry records are stored in Supabase (Postgres, EU region) for the operation of the website and managing enquiries. Access is limited to people who need it to respond to enquiries or maintain the service.
Analytics and cookies
This site uses PostHog (EU-hosted, hosted at eu.i.posthog.com) for privacy-conscious product analytics — page views, form interactions and clicks on our site's booking links (the booking itself happens on TidyCal's site, which is outside PostHog's tracking). PostHog only loads after you accept analytics on the cookie banner; if you decline, no PostHog scripts run and no PostHog cookies are set.
When accepted, PostHog sets a small number of cookies (including ph_* session and identity cookies) and stores event data including page paths, click events, viewport size, browser and country (derived from IP, IP itself is discarded on ingestion). Event retention is set to 12 months in the PostHog project. No Google Analytics.
Advertising tracking is separate and optional: if you tick "Also allow advertising tracking" on the cookie banner, we load the Meta (Facebook) Pixel to measure ad performance. This never happens from analytics consent alone. The banner also records a separate sca-consent-marketing entry for that choice.
The consent states we store are sca-consent (analytics) and sca-consent-marketing (advertising) entries in your browser's localStorage (values: accepted or declined) so we don't ask again on every page load.
Retention
Booking and enquiry data: kept for as long as needed to respond, follow up, audit, secure and maintain business records. Analytics data: 12 months. You can ask us to delete enquiry data where there is no overriding legal reason to retain it.
Your rights
Under UK data protection law you may have rights to access, correct, delete or restrict use of your personal data, and to object to certain processing. You can withdraw analytics or advertising consent at any time by clearing the sca-consent / sca-consent-marketing entries in your browser's storage (developer tools → Application → Local Storage) — the banner will reappear on the next page load and you can choose again.
